Overall Function
EDF’s Catalyst Circle mid-level giving program and Planned Giving program together generate over $25M annually as part of EDF’s broader fundraising enterprise. The Development Coordinator, Catalyst Circle and Planned Givingis one of several Coordinators who play essential roles in ensuring the smooth and efficient functioning of these teams. Reporting to the Senior Director, Catalyst Circle, this position provides administrative support to the four-person mid-level giving team and one Planned Giving Officer. The Development Coordinator will also perform certain data, communications, and other administrative tasks for both teams, as assigned.
Key Responsibilities
- Provide administrative support to assigned staff, including assisting with donor meeting and travel preparation, preparing expense reports, and responding to donor queries through correspondence, phone and email.
- Assist front-line Catalyst Circle and Planned Giving staff in logging completed and future donor engagement activities and contact notes in our donor database.
- Support the timely acknowledgement and receipting of Catalyst Circle donations. Review incoming gifts and individual donor histories; produce and mail acknowledgment letters and receipts; update donor and gift data; and maintain acknowledgment templates.
- Support the Catalyst Circle Stewardship and Operations Manager with data hygiene work, including examining stock and unidentified gifts to ensure proper attribution; reviewing reports to identify and resolve errors in our data; submitting record adjustment requests; and logging email unsubscribe requests and bounced emails.
- Make occasional thank-you calls to our donors. Monitor the Catalyst Circle email inbox and reply to inquiries or redirect them for special handling. Oversee the handling of a low volume of donor correspondence and returned mail.
- Collaborate in team meetings to strategize, brainstorm, and improve processes to help meet team goals.
- Schedule meetings between Catalyst Circle and Planned Giving Teams and take notes.
- Participate in department-wide initiatives, projects, meetings, retreats, and other duties as assigned, and seek professional development opportunities to expand knowledge of subject matter.
- Participate in advancing EDF’s organizational effectiveness and culture goals, so people from all backgrounds and experiences feel connected, included and empowered to address environmental and organizational challenges in ways that align with EDF values.
Qualifications
The ideal candidate will have:
- Associate degree or equivalent in a relevant field with at least 3 years of Development experience. Planned Giving experience a distinct asset.
- A bachelor's degree or equivalent may substitute for up to 2 years of relevant experience.
- Ability to work with confidential documents, including donor agreements, with integrity and attention to detail.
- Excellent writing skills with ability to compose, proofread and edit materials with appropriate formatting and grammar, ready to publish to appropriate audiences.
- Outstanding verbal communication skills and ability to build rapport quickly with donors, and colleagues.
- High level of initiative, structure, and creativity, with a proactive, problem-solving mindset.
- Demonstrated self-awareness, cultural competency, inclusivity, and ability to work with colleagues and stakeholders across all cultures and backgrounds.
- Proficiency with fundraising databases preferred; knowledge of PGCalc planned giving software a plus.
- Proficiency with Microsoft Office tools, including demonstrated success in working with spreadsheets in Excel strongly preferred.
- Team-oriented and willing to perform assorted duties as assigned.
