Program Overview

EDF’s Healthy Communities Focus area is committed to improving the public’s health by dramatically reducing exposures to and health impacts of toxic chemicals and air pollution among communities and individuals that bear the greatest burden of exposure and/or health risk. By advancing scientific insights, policies, and market-based leadership and working with diverse partners and collaborators from companies, researchers, and community-based groups to government agencies and elected officials, we seek to make evident inequities in chemical- and pollution-related health impacts, and to develop, support and implement solutions that promote healthy communities and individuals.

Overall Function

Environmental Defense Fund is seeking a Coordinator who will provide key programmatic and administrative support to EDF’s Healthy Communities Focus Area. The Coordinator will work on tasks related to project tracking, scheduling, contracts/invoicing management, communications, and meeting/event planning.This role is part of the larger operational team within Healthy Communities.The Coordinator reports to the Manager, Healthy Communities and works closely in a team environment with other Healthy Communities staff.

Close collaboration and independent judgment are required to help plan, prioritize, organize and execute the workload within this busy program. This is an excellent opportunity to develop core organizational, communications and project management skills and provide vital operational support to advance environmental and public health goals.

Term

This is a 2-year fixed term position.

Key Responsibilities

  • Process and track expense reports, invoices, contracts, and grant agreements, and manage new vendor set ups with Project Managers and Finance staff.
  • Draft and execute contracts for consultants or other vendors, and help track progress on all contract execution, payment and termination.
  • Schedule and manage logistics for workshops, program retreats, project meetings, team meetings, webinars, conference calls, and other events, including managing schedules, reserving meeting spaces, arranging catering, travel and hotel accommodations for meeting participants, setting up virtual calls, and performing other tasks as needed.
  • Build program engagement and connections by maintaining the Healthy Communities email listservs, updating the organizational chart, and managing the Healthy Communities Zoom account, and coordinating monthly reporting on project accomplishments to EDF’s Development team.
  • Provide support to the Healthy Communities Communications team, including tracking news articles, developing editorial calendars, and supporting the drafting of press releases, social media, newsletters, blogs, and other external communications.
  • Coordinate and organize the development of content for multi-channel media promotion between HC Communications and EDF Brand creators.
  • Manage the onboarding process for new Healthy Communities staff, working closely with project managers and project teams.
  • Maintain and update internal operations documents in line with HC project strategies
  • Maintain well-organized and accessible files for the Healthy Communities team including proactively managing and improving Microsoft Teams, Sharepoint, and Asana projects.
  • Track, manage and streamline subscriptions and dues.
  • Apply excellent organizational, communication and planning skills in preparing written products and communications, documenting and tracking key takeaways and next steps from meetings, responding to and eliciting requests for information, managing several shared email inboxes, and helping coordinate and track activities among staff members.
  • Participate in advancing EDF’s organizational effectiveness and culture goals, in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges aligned with EDF values.
  • Perform additional relevant responsibilities as assigned.

Qualifications

  • Associate degree or equivalent with at least 3 years of relevant work experience in fast-paced, administrative, detail-oriented environment, or a bachelor’s degree or equivalent with at least 1 year of experience.
  • Demonstrated self-awareness, cultural competency, inclusivity, and ability to work with colleagues and stakeholders across all cultures and backgrounds.
  • Excellent organizational and administrative abilities and meticulous attention to detail.
  • Ability to work independently and to prioritize and handle diverse, simultaneous tasks under pressure.
  • Excellent oral and written communication skills.
  • Proficiency in the use of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.).
  • Experience with Asana or other project management platforms highly preferred.
  • Experience with Sharepoint preferred.
  • Interest in environmental and/or public health advocacy is a plus.
  • Ability to coordinate with global teams working in different time zones.
  • Willingness and ability to travel domestically and internationally periodically.
