You will partner with Talent Acquisition and HR colleagues to support TA operations, maintaining and optimizing our pre-hire recruitment processes. This individual will be a pivotal resource to ensure the smooth operation of recruitment and hiring activity.


The TA Operations Coordinator will provide support in the following key areas:  daily operational support for TA team members on job requisitions, TA reporting, workflow updates to the recruitment ATS and workflows (we use ICIMS), all pre-hire activity and onboarding activities, and other tasks as assigned.


Key Responsibilities

  • Prepare the weekly Incoming New Requisition Activity Report, tracking current and upcoming vacancies, and monitoring recruiter capacity. Identify improvements to reporting and analysis.

  • In collaboration with TA Management, build out and maintain recruitment reporting in Smartsheets, ensuring data is accurate and correctly feeding to recruitment dashboards.

  • Initiate Background Checks for candidates, partnering with the candidate and Background Check vendor to ensure it’s completed in a timely manner, troubleshooting issues as needed.

  • Support in creation of job posting in ATS (ICIMS)

  • Coordinate Temporary hiring execution

  • Maintain a database of job specific screening questions in our ATS to support posting and selection

  • Sending and tracking candidate assignments, and build out a TA database assignment bank

  • Sending and tracking candidate application forms, working with candidates to ensure they’re completed accurately and on time

  • Participate in process improvements and designing innovative ways to deliver best in class candidate and hiring manager experiences 

  • Become familiar with nuances and requirements  of recruiting in non-US locations

  • Respond to TA queries submitted through the HR Inbox, routing appropriately.

  • Collaborate with other parts of the HR team to problem-solve and ensure smooth operational flow

  • In partnership with the TA Team, develop EEO reports for open and closed vacancies. 

  • As needed, complete reference checks for the TA Team with final stage candidates.

  • Support the TA team by sending update / rejection emails to candidates in the recruitment ATS (iCIMS)

  • Provide back-up to the OnBoarding Coordinator and develop familiarity with post-offer processes.

  • Delivers iCIMS training to new hiring managers as needed

  • Participate in advancing EDF DEI goals in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges in alignment with EDF values




  • Bachelor’s Degree or equivalent relevant experience required

  • 3 or more years of previous recruiting or HR business operations, or related operations or project management experience

  • International and US experience desired.

  • Experience working successfully within a fast-paced complex matrix structured organization with multiple stakeholders

  • Proactive and customer service mindset with colleagues and clients

  • Analytical aptitude; skilled with numbers and systems tools

  • Strong written and oral communication skills

  • Strong Excel or Smartsheet skills

  • Experience working with Human Capital systems (such as Workday)  and/or ATS systems preferred

  • Ability to work effectively and collegially with all levels of the organization

  • Excel at managing timelines, delivery, dependencies, and communication across team

  • Demonstrates self-awareness, cultural competency and inclusivity, and ability to work with colleagues and stakeholders across diverse cultures and backgrounds.
