Donor Engagement and Events Assistant

EDF's Development Department is responsible for developing and managing relationships with the organization's donors and prospective donors. The Donor Engagement and Events team is responsible for planning donor events that assist with engagement of existing donors and building the pipeline for new donors.

Overall Function

The Donor Events Assistant will work under the supervision of a Senior Donor Events Specialist and with the Development Events team to handle administrative functions and projects, as well as track and manage data related to EDF's donor events. This role will also handle discreet data management projects in various platforms used by EDF including, but not limited to, CommonGround (Salesforce), and CVENT databases. The Donor Events Assistant will also provide day-of logistical support for donor events, Board meetings, and virtual engagements and will be expected to maintain the highest standard of professionalism in both written and verbal communications. 

Key Responsibilities

  • Lead the management and maintenance of event team data including:
    • Collecting, compiling and maintaining invitation lists
    • Creating and uploading event RSVP reports
    • Maintaining event files and other online databases
    • Liaise with the Data Team on events attendance reporting
  • Administrative functions including:
    • Submit invoices and complete expense reports
    • Maintain Events team internal and departmental calendars
    • Submit research requests, as needed
    • Assist with vendor research and organization of vendor database(s)
    • Preparation, creation, and shipping of event materials
    • Manage inventory and order event materials
  • Coordinate Meeting Scheduling including:
  • Internal Team meetings and trainings
  • Stakeholder and speaker meetings and rehearsals
  • Donor Communications including:
    • Serve as point of contact and provide correspondence relating to event RSVPs and inquiries
    • Support and provide communication materials to Development staff including event invitations and informational materials, as needed
  • Support miscellaneous projects as assigned


We seek a highly organized, detail-obsessed self-starter who is comfortable working in a fast-paced work environment. Qualifications for this position include but are not limited to:

  • Knowledge of web-based contact and event management platforms such as Salesforce and CVENT is a plus
  • Experience working with Google suite and Microsoft Office: OneDrive, Outlook, Word and Excel
  • Demonstrated ability to use sound judgment to identify and solve problems
  • Commitment to maintaining confidentiality about sensitive information
  • Ability to follow through on tasks with minimal follow-up
  • Strong communication and problem-solving skills
  • 2+ year of event planning and/or non-profit development experience highly preferred 
  • Ability to work occasional nights and weekends and travel as needed for event staffing
