Overall Function

The Coordinator, State Affairs Southwest Region will serve as a key point person, supporting the activities and operations of the State Affairs regional advocacy function and team.  With a dual reporting line to the Senior Director, Water Policy and State Affairs and Senior Specialist, Operation, this is an expert administrative position requiring substantive, relevant experience, and the ability to perform a combination of administrative, internal communications and content work. The Coordinator has a dual function, working closely with the Senior Director, Water Policy and State Affairs and the region team of EDF staff and consultants, and with EDF program staff, to advance EDF’s goals in the Southwest Region which includes Nevada, Arizona, and New Mexico.  This is an excellent opportunity to exercise core business skills in support of a transformational advocacy function on complex environmental issues, and to gain knowledge of work within a large non-profit. The position plays a critical supporting role in the development and execution of operations and activities to advance priority goals of EDF in the Southwest Region that includes Nevada, Arizona, and New Mexico. Independent judgement is important and required to plan, prioritize, and organize workload. Ideal candidates are driven self-starters with the ability to learn and implement workflow processes quickly and work well remotely as part of a team that includes EDF staff in State Affairs, Political Affairs, various programs, affiliated advocacy groups, and with consultants.  

 

Key Responsibilities

  • Apply excellent organizational, communication, and planning skills by responding to requests for information, helping to coordinate activities and projects for the team, and preparing correspondence and reports as needed.
  • Coordinate and help plan various meetings for the team and team members’ participation in events, workshops, and conferences.
  • Coordinate periodic monitoring and evaluation processes to track progress on the team’s goals.
  • Manage schedules and meeting requests and make travel arrangements for State Affairs regional team.
  • Oversee the administrative processes of the team, including expense reporting, invoicing, and meetings including taking and distributing notes of meetings convened by the team. 
  • Manage the Southwest Region team’s databases, including tracking of all meetings with elected officials and staff for government agencies and donor engagements.
  • Work closely with State Affairs team, EDF Political Affairs staff, and staff of EDF programs working on region goals to support tracking, reporting and decision-making on region project budgets.
  • Manage other administrative tasks associated with staff, consultants, and interns, including logistics, office and technology needs, and telecommunications.
  • Ensure teams are utilizing and operating in compliance with EDF systems and work diligently to regularly improve and enhance EDF’s operational processes and infrastructure.
  • Support the management of EDF’s Southwest Region partnerships with nonprofit, community-based, corporate and other allies.
  • Synthesize issue research and policy analysis and draft and edit documents and other materials to support EDF’s advocacy agenda, strategic communications efforts, internal and external reporting requirements, and other purposes.
  • Administer contracts for consultants, including assistance in writing and processing contracts with EDF staff and consultants to ensure the fulfillment of contract obligations and invoices are submitted and paid in a timely fashion.
  • Participate in advancing EDF DEI goals in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges in alignment with EDF’s values.
  • Other duties and responsibilities as assigned.

 

Qualifications

  • A minimum of two years’ work experience in office administration.
  • A bachelor’s degree required or master’s degree with 0 to 1 year of experience.
  • Demonstrates self-awareness, cultural competency and inclusivity, and ability work with colleagues and stakeholders across diverse cultures and backgrounds.
  • Creativity, energy, and the ability to multi-task and get work done under pressure.
  • Excellent organizational, planning, and administration skills.
  • Strong verbal and written communication skills.
  • Superior skills in MS Word, Excel, Access, PowerPoint.
  • Presence, confidence, and integrity.
  • Ability and willingness to work as a strong team player, together with a demonstrated capacity to work independently and as a self-starter.

Up to 10% travel

 

Location

The location of this position is remote; recommended convenient access to an airport. Nevada, Arizona, or New Mexico residency preferred.

 

Hiring Range

We offer a strong total rewards package encompassing competitive salary, robust benefits, and professional development opportunities consistent with a modern global organization.

The pay range for this role is 55,000 - 62,000 USD which takes into account factors such as candidate experience, skills, training, internal team equity and local norms.
