Program Coordinator

Overall Function
The Program Coordinator will support program staff of the Pacific Regional team of the Oceans Program inour San Francisco office and other locations, as well as other Oceans Program staff in San Francisco.  This position involves confidential and sensitive information and deals with a diverse group of internal and external callers and visitors.  Independent judgment is required to plan, prioritize and organize your workload within this busy program.

Key Responsibilities
  • Administer contracts for consultants, including assistance in drafting contracts, working with the Accounting Department to ensure payments of contracts and with program staff and consultants to ensure the obligations of contracts are fulfilled.
  • Help process expense reports and invoices and track expenses against budgets.  Assist in monthly process of forecasting future spending plans.
  • Maintain heavy calendar. Insure adequate preparation for meetings including agendas, background information, deliverables, etc.
  • Handle travel arrangements.
  • Provide administrative support including faxing, copying, and document and presentation preparation.
  • As needed, conduct research and apply excellent organizational, communication, and planning skills in preparing correspondence and reports, briefings, correspondence, memos, charts, tables, graphs, business plans, and responding to requests for information.
  • Assist staff in preparing and finalizing individual work plans, as well as track program progress on work plan elements.
  • Assist in preparation of work products including: conducting background research, preparing summary documents, preparing sections of reports, interfacing with contractors such as web and graphic designers, organizing final layout, and proofreading documents.
  • Act as liaison between department and non-department personnel.  Insure they get proper response and attention.
  • Screen and prioritize requests from within department.
  • Handle confidential and non-routine information.
  • Act as a liaison with other internal departments/programs as well as other organizations and associations.
  • Work independently and as part of the team on special nonrecurring and ongoing projects, which may include, planning and coordinating multiple presentations, disseminating information, proofreading documents, etc.
  • Plan and coordinate internal and external meetings and retreats when necessary.
Qualifications
  • Bachelor’s degree preferred with 3-5 years of relevant experience in a similar position.
  • Highly proficient in MS Word, Excel, PowerPoint and other software applications. 
  • Experience with budgeting, accounting and/or bookkeeping. 
  • Excellent interpersonal skills and ability to interface well with all programs/departments in the organization and to represent the Oceans Program in a highly professional manner.
  • Excellent written and oral communication skills. Must be well organized, motivated, and detail-oriented.
  • Research, analytical, and writing skills required in order to gather and summarize data for reports, find solutions to various problems, and prioritize work.
  • Ability to multi-task, prioritize and meet deadlines. 
  • Ability to work in a team setting and also to work independently with minimal supervision.
  • Position requires demonstrated poise, tact, and diplomacy. Must be comfortable handling confidential and sensitive information.  
  • Demonstrate initiative and problem solving skills. 
  • Attention to detail and strong organizational skills.
  • Interest and/or experience in environmental advocacy preferred.

This position will be located in San Francisco, CA.
Start Date
This position will begin as soon as possible.
