Oceans Program

The Oceans Program works to find constructive solutions to the most critical problems threatening the world's marine environments. At the national, regional, and international levels, our team of scientists, attorneys and economists are working with fishermen to establish fair and sensible limits on their catch that will allow fisheries to recover. EDF’s Oceans Program works to improve the health of the oceans via innovative and durable solutions to today’s toughest fishery management challenges. Our Oceans Program has focused on fisheries in the waters of the United States, Mexico and the Caribbean and Europe and is beginning to implement its strategy to influence fisheries reform globally to ensure more fish in the water, more food on the plate, and more prosperous communities.

The Knowledge and Solutions Team is a diverse group of global fishery experts who are dedicated to providing research-driven insight on improving fisheries management. From data to design, the center equips fisheries stakeholders with the tools and resources they need to design and implement management programs that boost the profitability and sustainability of their fisheries.

Overall Function

The Program Assistant will work within the operations team and play a key role in ensuring smooth operation of day-to-day activities. We are seeking a highly organized self-starter who is able to effectively plan office activities and prioritize workloads in a challenging but rewarding office environment.

Key Responsibilities

  • Manage the Senior Director’s calendar, meetings and travel to optimize efficiency. Assist with in-office support, as needed.
  • Process expense reports, AMEX reimbursements and invoices
  • Set-up new vendors and research vendor issues
  • Assist in processing contract documentation
  • Assist with onboarding new team members including HR and IT needs
  • Ensure smooth logistics for onsite meetings and visitors including conference room reservations, meal planning, and logistics, both in preparation and execution.
  • Contribute to the design, planning, and execution of key events
  • Provide administrative support including copying and document preparation
  • Maintain regular team records including meeting minutes, team member information, weekly calendars, etc.
  • Maintain well-organized and accessible electronic and paper files
  • Assist with special projects as needed

  • Two-year degree
  • At least 1 year of administrative experience in a fast-paced, detail-oriented environment
  • Meticulous attention to detail, accuracy with numbers, and organizational abilities
  • Displays initiative and works independently to solve problems in an efficient and effective manner
  • Excellent interpersonal skills and ability to interface with poise and diplomacy
  • Excellent written and oral communication skills
  • Ability to multitask, prioritize workloads, and meet deadlines in a busy office environment
  • Ability to work in a team setting, and also to work independently in accordance with routinized practices and procedures
  • Highly proficient computer skills, including MS Office Outlook, Word, and Excel
  • Interest and/or experience in environmental advocacy preferred
