Overall Function Environmental Defense Fund is currently looking to hire an Executive Assistant to support our Senior Vice President of Development in our New York City office. This position involves handling confidential and sensitive information, and managing a diverse group of internal and external callers and visitors. Independent judgment is required to plan, prioritize, and organize an intense workload within the Development department.
Key Responsibilities Essential duties include but are not limited to:
- Represent the SVP, internally and externally, displaying tact and diplomacy with top EDF donors, Trustees, Leadership Gifts Committee members and all other stakeholders.
- Maintain and monitor weekly targeted donor list activity and prepare SVP for weekly review meetings; retrieve and create reports from donor database.
- Maintain calendar for Senior Vice President ensuring adequate preparation for each meeting including agendas, background information, deliverables, etc.
- Work with department budget analyst on preparation of monthly Projection Reports and other materials.
- Manage a variety of projects including organizing departmental retreats and meetings.
- Monitor, track and report on progress of department goals and milestones.
- Act as liaison between non-department personnel and Senior Vice President. Insure all inquiries receive prompt and proper response and attention.
- Work independently as part of the development team on special nonrecurring and ongoing projects, which may include, planning and coordination of multiple presentations, disseminating information, coordinating mailings, and proofreading documents and brochures.
- Act as liaison between all members of the development team and the Senior Vice President.
- Insure that all development staff obtain sign-off and input as needed from the Senior Vice President.
- Screen and prioritize Senior Vice President’s email.
- Answer phones, take messages or field/answer all routine and non-routine questions. Handle confidential and non-routine questions and information.
- Act as liaison with other internal departments/programs as well as other organizations and associations.
Qualifications/Requirements
- With 7+ years’ work experience in Office Manager or Executive Assistant capacity and a Bachelor’s Degree, the ideal applicant will be a highly polished, well-presented team player who is able to carry out a multitude of duties
- The role requires adaptability, exceptional communication and team skills, and superior organizational ability. We need someone who can think quickly to resolve problems with exceptional customer service skills and an unflappable style
- Able to multi task and handle sensitive information with discretion
- Must be able to interact with all levels of senior management
- Professional, poised and sophisticated and able to work in a dynamic, fast-paced environment
- Excellent communication, writing, judgment, and problem-solving skills
- Strong attention to detail as well as solid organization/time management skills
- Must be an enthusiastic, positive team player who is willing to help out, works well with colleagues and thinks/acts like an owner
- Proficient in Microsoft Office applications, especially Outlook for email, calendar and contacts
- Must be highly discreet and be comfortable handling highly confidential and sensitive information
- Understanding of development and fundraising terminology preferred
