Director of Facilities Management and Planning

Overall Function

The Director of Facilities Management and Planning, who will report to the Chief Information Officer, is charged with the business and financial management of EDF's leases, facilities, commercial insurance, office equipment and supplies.

Key Responsibilities

Leadership: As a Director and a member of the IT Operations team, he/she participates in the development and implementation of the organizations strategic plans and vision. This individual will be responsible for developing metrics to assure efficiency and effectiveness of services provided. This individual will ensure that facilities are planned to serve the organization, undertaking necessary study and review to bring innovative ideas for facilities planning to the organizations dialogue. This individual’s direct reports will include the Assistant Director of Office Services, who is responsible for 8 individual office managers and the Senior Specialist; AV and Video Conferencing who is responsible for AV needs both for internal conference rooms and external EDF events.

Leasing/Construction:  Responsible for all office lease negotiations, renewals and space searches for all EDF locations. Oversee all leasehold improvement construction projects for new offices, office moves and/or office expansions. Create and implement space strategy to maximize short-term capacity utilization in line with long-term needs.  Work on office leases, construction and related efforts that require close coordination and cooperation with the Assistant Director of Office Services, Senior Specialist of AV and Video Conferencing, CIO, CFO and COO.  Responsible for review / approval of vendor invoices, including allocation of costs to relevant departments or projects.

Facilities Management:  Responsible for the purchase, maintenance and replacement of facilities equipment, such as photocopiers/printers, postage meters, HVAC equipment, Audio Visual, etc. Oversee security and controlled access procedures, address legal and building management policies and issues.   Work with Assistant Director of Office Services and Senior Specialist; AV and Video Conferencing on equipment and issues in each office. Responsible for review / approval of vendor invoices. Responsible for event set-ups and break-downs both on and off-site.

Supplies and Other Contracts:  Oversee, with Assistant Director of office Services, vendors for the purchase of travel, office supplies, maintenance and building services that have multi-office impact.  Responsible for national vendor selection and review / approval of vendor invoices.  Perform analysis to ensure there are cost/benefit considerations taken into account for major vendor purchases. 

Budgeting/Financial Management:  Build fiscal year budgets and manage monthly forecasts, working closely with the Assistant Director of Office Services.  Assigned budgets include all of our Facilities and Administration.  Build and administer an annual capital budget for leasehold improvements and new renovations. 

Sustainability:  Ensure appropriate "green" content in facilities and purchases in line with what we are advocating to the public.  Lead the annual carbon footprint inventory and follow-on efforts to reduce our emissions. 

Qualifications

Qualifications include, but are not limited to:

  • Masters degree in business, accounting, finance or public administration preferred
  • 10 years experience with leasing and facilities management, including work with LEED standards and sustainability efforts.
  • 5 years experience with risk management.
  • 3 years supervisory and office management experience.
  • Strong interpersonal communication skills.
  • Demonstrated negotiation skills.
  • Ability to analyze information and present conclusions in a concise, coherent manner.
  • Clear and understandable oral and written communication skills.
  • Ability to manage multiple projects to completion and ability to juggle tasks, often with conflicting deadlines and priorities.
  • Ability to work independently.
